Who we are
Visinex is a design and development studio based in the Netherlands. In this privacy policy we explain which personal data we collect when you visit our website, contact us, apply for a job or work with us, why we do that and what your rights are. What data we collect
We only collect data that we need. Depending on how you interact with us, this can be:
- Contact and call requests: your name, email address, company, phone number (if you give it) and the content of your message.
- AI growth scan: the website address you submit, the contact details you add to receive the report, and the results of the scan.
- Newsletter: your email address and whether you opened or clicked our emails.
- Job applications: your name, email address, links to your portfolio or LinkedIn, your CV and anything else you choose to send us.
- Clients and suppliers: contact and billing details needed to run a project and send invoices.
- Website usage: technical data such as your IP address, browser, device and the pages you visit. Where possible we collect this anonymously or in aggregated form.
Why we use it and on what basis
The GDPR requires a legal basis for every use of personal data. We rely on:
- Performance of a contract (art. 6(1)(b) GDPR): to prepare a proposal, carry out a project and invoice our work.
- Consent (art. 6(1)(a) GDPR): for the newsletter, analytics cookies and job applications. You can withdraw your consent at any time.
- Legitimate interest (art. 6(1)(f) GDPR): to answer your questions, run the AI growth scan you request, keep our website secure and improve our services.
- Legal obligation (art. 6(1)(c) GDPR): for example to keep our financial records as required by Dutch tax law.
We never sell your data and we do not use it for purposes other than the ones described here.
How long we keep it
We don’t keep personal data longer than necessary. Our standard retention periods are:
- Contact and call requests: 12 months after our last contact, unless they lead to a project.
- AI growth scan data: 12 months after the scan.
- Newsletter: until you unsubscribe.
- Job applications: four weeks after the application process ends, or up to one year with your explicit consent.
- Client and billing records: seven years, as required by Dutch tax law.
Who we share it with
We work with a small number of carefully selected service providers (processors) that help us run our website and business, such as hosting, email, analytics and accounting software. They only process your data on our instructions, and we have a data processing agreement with each of them.
- Website hosting and file storage: Vercel
- Email: Google Workspace and Resend
- Database: Neon
- AI features (growth scan and chat): Anthropic
We only share data with other parties when the law requires it, for example with the Dutch Tax and Customs Administration.
International transfers
We prefer providers that store data within the European Economic Area (EEA). If a provider processes data outside the EEA, we make sure appropriate safeguards are in place, such as an adequacy decision of the European Commission (for example the EU-US Data Privacy Framework) or the European Commission’s standard contractual clauses.
Cookies and analytics
Our website uses functional cookies that are needed for the site to work. With your consent we also use analytics cookies to understand how visitors use the site, so we can improve it. We do not use advertising or tracking cookies from third parties.
You can change or withdraw your consent at any time through the cookie settings in the footer of our website, or delete cookies through your browser settings.
AI tools and automated decisions
We use AI tools in our work, for example to generate the AI growth scan report or to draft first versions of content. We do not make decisions with legal or similarly significant effects about you based solely on automated processing. A person on our team always reviews job applications and project decisions. We don’t use personal data you send us to train AI models.
How we protect your data
We take appropriate technical and organisational measures to protect your data against loss and unauthorised access, such as encrypted connections (HTTPS), two-factor authentication on our accounts and access limited to the people who need it. If you think your data is not properly secured or there are signs of misuse, please contact us at chris@visinex.studio.
Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you;
- have incorrect data corrected;
- have your data deleted (the ‘right to be forgotten’);
- restrict or object to the processing of your data;
- receive your data in a structured, machine-readable format (data portability);
- withdraw your consent at any time, without affecting processing that took place before.
To use any of these rights, send an email to chris@visinex.studio. We may ask you to confirm your identity and will respond within one month. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), although we would appreciate the chance to resolve your concern first.
Changes to this policy
We may update this privacy policy when our services or the law change. The latest version is always available on this page, with the date of the last update at the top. If a change significantly affects you, we will let you know. Also see our terms of service.
